Engagement of Pay360 to provide replacement
card payments system.
Reasons for the decision:
Current support for Smartpay expires
31/12/2024 so alternative arrangements have been
investigated.
Due to the high costs of upgrading the existing software solution
(one off fee £91k and total 3 year contract costs of
£58k) it has been decided to upgrade our existing Income
Management System with the additional functionality to process card
payments, thereby incorporating the whole income collection piece
into one solution.
Alternative options considered:
Continue support with existing provider at
higher cost. This would still require project plan and
implementation as new software version.
Do nothing - total loss of card payments function for the
authority.
Details of any associated risks and mitigation:
New software will need to be functional by
31/12/2024 to ensure seem less transaction for customers.
Failure to complete the project by this date will prevent customers
making council payments.
Details of any associated finance considerations:
There is a one off implementation fee of
£37k.
Total 3 year contract cost of £44K. This budget is already
included in our revenue budget as part of the existing support
costs. There would actually be a £16K saving over the 3 year
period compared to the current support.
